Join an exciting, global initiative as the Co-Lead of the Tents and Cabins Section in the Jamboree Site Department, playing a pivotal role in shaping the World Scout Jamboree site on Wyspa Sobieszewska, Gdańsk. This is a unique volunteer opportunity where you will be instrumental in the development and execution of the site plan, ensuring that the Jamboree is a memorable and impactful event for thousands of Scouts from around the world.

The Jamboree Site Department is responsible for the meticulous spatial planning and preparation of the event grounds, working closely with the Jamboree architect and various industry specialists. The department will oversee the planning, construction, operation, and decommissioning phases of the site, all in alignment with WOSM guidelines and environmental sustainability goals. Your role will focus on delivering innovative, sustainable solutions for the Tents and Cabins section, ensuring that they meet the needs of participants while minimizing environmental impact.

As a key member of the Tents and Cabins Unit, you will take on a critical role in ensuring the seamless coordination of spatial development across the Jamboree site. Your responsibilities will include:

• Understanding and Responding to Needs: You will assess and address the spatial requirements of various departments and contingents, ensuring that each group has the necessary accommodations and resources for their activities and comfort.
• Managing Essential Equipment: You will oversee the procurement and allocation of essential equipment such as chairs, benches, tables, flooring, and containers, ensuring that these items are available and ready for use in line with the event’s needs.
• Coordinating Logistics: Your role will involve closely coordinating with different teams to make sure all demands are met, from the setup of tents and cabins to the placement of furnishings and equipment, ensuring the site operates efficiently and smoothly.

Core Skills and Competencies:

• Project Management: Proven experience in overseeing the setup, maintenance, and decommissioning of tents and cabins, including the ability to manage scheduling, resource allocation, and coordinate effectively with cross-functional teams.
• Spatial Planning: Strong proficiency in assessing and planning spatial requirements for large-scale temporary setups. You will be skilled at optimizing space and ensuring it meets the diverse needs of departments and contingents.
• Logistics Coordination: Expertise in managing the procurement, distribution, and setup of essential event equipment, such as chairs, benches, tables, flooring, and containers, ensuring a smooth and efficient flow of resources.
• Procurement and Tender Processes: Demonstrated experience in handling procurement activities, including managing the tender process to ensure cost-effective and high-quality supplies.
• Technical Knowledge: A solid understanding of the technical aspects of tent and cabin construction, including materials, structural integrity, and safety standards, to ensure all installations meet required guidelines.
• Problem-Solving: A proactive approach to troubleshooting and addressing issues that arise during the planning and execution phases, ensuring a seamless operation.
• Temporary Event Management: Prior experience in managing large temporary events, with a focus on creating well-organized, functional, and memorable experiences for participants.
• Competence and Professionalism: High standards of competence and professionalism in all aspects of your work, along with strong personal integrity.
• Volunteer and Staff Collaboration: Ability to collaborate with diverse teams of volunteers and staff, particularly in international settings, fostering a supportive and inclusive work environment.
• Team Collaboration: A team player who can build positive relationships with colleagues, encouraging collaboration and shared success.
• Group Work: A collaborative mindset, with the ability to contribute to and lead efforts in group settings.

• Technical Proficiency: Advanced knowledge of Outlook 365, MS Word, Excel, and SharePoint to manage tasks and communications efficiently.

Additional Requirements:

For Applicants from Poland:

• Membership in the Polish Scouting & Guiding Association (ZHP).
• Completion of leader’s service in the previous year, along with a favorable opinion from the relevant Regional Commissioner or Chief Commissioner.
• Positive experience in managing projects at least at the regional level.
• Ability to communicate fluently in English, both written and spoken.

For Applicants from Abroad:

• Membership in one of the organizations belonging to the World Organization of the Scout Movement (WOSM).
• A favorable reference from your International Commissioner.
• Positive experience in managing major events at the international level.
• Ability to communicate fluently in English, both written and spoken.

• Volunteer Certificate: At the conclusion of your journey, you’ll receive a volunteer certificate, recognizing your dedication and the invaluable contribution you made to the success of the World Scout Jamboree.

• Cover letter in English (no more than four paragraphs) describing your experience, skills, and motivation for applying.
• Endorsement letter  from your International Commissioner (for international candidates) or from the Regional Commissioner or Chief Commissioner (for Polish candidates).
