Job title: Lead of Arrival and departure section, Transport Department 

Nature of engagement: Volunteer contract  

Duration: From June 2025 until the end of the project in December 2027   

Department description  

The Transport department is responsible for the transportation needs of all members of the World scout Jamboree 2027 in Gdansk Poland. From off-site program transport to Arrival and Departure, to Fleet management and Daily transport operations… we do it all!!

Section description 

The arrival and departure section will be responsible for the transportation of participants on arrival and departure days. This includes transport from the arrival and departure at a point of entry/exit to and from the campsite, and all work regarding it.

What you should expect

Responsibilities  

  • Leading the arrival and departure section 
  • Primary point of contact for the Transportation Head of Department (HoD) 
  • Overseeing all work regarding arrival and departure 
  • Main contact with points of entry (airport, railway, ferry) 
  • Set up the points of entry 
  • (Development) Training staff for Points of Entry tasks 
  • Team management, including onboard/offboarding, recruitment, training (JPT members of the team and IST team) 
  • Safety (Risk analysis and management) 

 Commitments  

  • Availability to participate in the Jamboree Planning Meetings scheduled prior to the event, in Poland (first JPT meeting is held 11-13 June 2025) 
  • Availability to arrive at the event earlier and depart from the Jamboree later than standard arrival/departure dates (specific date will be agreed later in the project planning)

 Background Experience   

  • Preferred experience in travel agency work 
  • Preferred experience in communications or customer support  
  • Experience in management skills would be considered an advantage 
  • previous experience leading a team in an intercultural environment is preferred 
  • previous experience in similar departments in large events would be an advantage 

 

Formal requirements

Applicants from Poland should meet the following requirements:  

  • active membership in the Polish Scouting & Guiding Association (ZHP)  
  • completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwi / Naczelnik ZHP) 
  • positive experience of projects at least at regional level (domestic)  
  • ability to communicate freely in spoken and written English  

Applicants from abroad should meet the following requirements:  

  • Active membership in one of the organisations belonging to the World Organization of the Scout Movement (WOSM)  
  • a favourable opinion from the International Commissioner  
  • positive experience of projects at international level  
  • ability to communicate freely in spoken and written English
