Nature of engagement: Volunteer contract.

Duration: From May 2025 until the end of the project in December 2027.

Department description 

We are seeking enthusiastic and highly organized individuals to join our team as Venue Manager – Plaza for the 2027 World Scout Jamboree in Poland. The Venue Manager – Plaza will be responsible for managing all areas of operations where contingents will establish their country stores, shops, restaurants, and other facilities, ensuring a vibrant and seamless experience for all participants.

What you should expect

Responsibilities:

  • Operations Management: Oversee the setup, operation, and dismantling of all country stores, shops, restaurants, and other contingent facilities within the designated plaza areas.
  • Coordination and Logistics: Work closely with the logistics team to ensure the efficient flow of materials, supplies, and equipment to and from the plaza areas.
  • Team Leadership: Manage and support a diverse team of volunteers and staff, providing direction, training, and motivation to ensure high performance and a positive working environment.
  • Budget Management: Assist in developing and managing the plaza operations budget, ensuring cost-effective use of resources and adherence to financial guidelines.
  • Reporting and Documentation: Maintain comprehensive records of all plaza activities, preparing regular reports for senior management and post-Jamboree evaluation.

Commitments:

  • Availability to arrive at the event earlier and depart from the Jamboree later than standard arrival/departure dates (specific date will be agreed later in the project planning)
  • Regular meetings as required to support the development of your team.
  • Monthly department meetings to share developments among the wider team.
  • 2 hours a week developing and growing the team and its policies/procedures.
  • Following up promptly to communication by email and Slack.

Applicant Profile

Knowledge and Skills:

  • Leadership: Strong leadership skills with experience managing diverse teams in dynamic environments.
  • Communication: Excellent verbal and written communication skills in English; proficiency in other languages is an asset.
  • Problem-Solving: Demonstrated ability to think critically and solve problems effectively under pressure.
  • Flexibility: Willingness to work irregular hours, including evenings and weekends, as required by event demands.
  • Team Player: Ability to work collaboratively with a wide range of stakeholders and team members.

Background Experience:

  • Experience: Minimum of one year of experience in event management, project management, or a related field, with a focus on large-scale or international events.
  • Scouting Background: Prior involvement in Scouting or similar youth programs is highly desirable.

  • active membership in the Polish Scouting & Guiding Association (ZHP)  
  • completed leader’s service in the previous year and an opinion of the relevant Regional Commissioner or Chief Commissioner (Komendant Hufca / Komendant Chorągwi / Naczelnik ZHP) 
  • positive experience of projects at least at regional level (domestic)  
  • ability to communicate freely in spoken and written English  

Applicants from abroad should meet the following requirements:  

  • active membership in one of the organisations belonging to the World Organization of the Scout Movement (WOSM)  
  • a favourable opinion from the International Commissioner  
  • positive experience of projects at international level  
  • ability to communicate freely in spoken and written English
